The job
A company-wide assistant that searches wikis, drives, tickets and chats, answers with citations, and respects each user's access rights.
Why it is hard
- Permissions: an answer must never reveal a document the asker cannot open.
- Company documents are messy, duplicated and out of date.
- Retrieval quality decides answer quality; poor chunking means confident wrong answers.
- Security teams will ask where data is stored and who can see prompts.
What a good setup needs
Tools
- A knowledge platform or agent builder (Dust, Dify, RAGFlow, Microsoft Copilot Studio, Salesforce Agentforce)
- Connectors to your document sources with permission syncing
- Citations and links back to the source in every answer
- Usage and quality monitoring
Guardrails
- Use connectors that carry source permissions, and test with restricted documents
- Show citations so people can verify
- Define what data is out of scope (HR, legal) and exclude it
- Review the vendor's data and retention terms
Human-in-the-loop points
- A knowledge owner for each source fixes outdated content
- Security reviews connectors before launch
- A feedback button routes bad answers to a person
How to start small
Start here: Launch for one team and one document source, test permission edge cases deliberately, and read the questions people actually ask.
How to know it works: Share of answers with a correct citation, and zero permission leaks in your tests.

Quick answers
How do I stop the assistant from showing confidential files?
Use connectors that sync source permissions, test with restricted documents, and exclude highly sensitive areas entirely until you have verified the setup.
Should we self-host?
It depends on your data rules. Self-hosted options (Dify, RAGFlow, AnythingLLM) keep data in your environment; hosted products need a review of their data terms.
