The job
A phone agent that answers calls or calls back, collects details, checks a live calendar, books or reschedules, and transfers to a person when needed.
Why it is hard
- Latency: a pause of a second or two makes the call feel broken.
- Speech recognition errors on names, numbers and accents lead to wrong bookings.
- Interruptions, background noise and awkward silences must be handled gracefully.
- Calendar integration has to be reliable, with no double bookings.
- Call recording, consent and phone rules vary by region.
What a good setup needs
Tools
- A voice platform (Vapi, Retell, ElevenLabs Agents, Synthflow, Bland) or a framework (LiveKit Agents, Pipecat)
- A calendar or booking system with an API
- A phone number and call-transfer path to staff
- Call transcripts and recordings for review, where lawful
Guardrails
- Tell callers they are speaking to an AI and follow local recording-consent rules
- Confirm name, date and time by reading them back before booking
- Transfer to a human on request, on repeated misunderstanding or for emergencies
- Block actions beyond booking, such as taking payments, until you have tested them
Human-in-the-loop points
- A person listens to a sample of calls every week
- Staff receive transferred calls with a short summary
- A person owns hours, services and pricing information the agent reads
How to start small
Start here: Pilot on after-hours calls only, for one service type, with a human fallback voicemail, and review every call for two weeks.
How to know it works: Booking completion rate, number of wrong or double bookings (aim for zero), and transfer rate.

Quick answers
Do callers have to be told they are talking to an AI?
Rules differ by place, so check the law where you operate. As a baseline, disclose it at the start of the call, and follow call-recording consent rules.
Should I build on a framework or use a hosted voice platform?
Hosted platforms get you running quickly. Frameworks such as LiveKit Agents and Pipecat give more control but need engineering time.
