The job
An automation that extracts data from invoices or expense requests, checks them against purchase orders and rules, posts clean ones and escalates exceptions.
Why it is hard
- Money is involved: errors and fraud attempts have a direct cost.
- Documents vary widely in format, so extraction is imperfect.
- Approvals, audit trails and separation of duties are often required.
- Prompt injection hidden in documents could try to steer the agent.
What a good setup needs
Tools
- A workflow tool (n8n, Make, Zapier Agents, Gumloop, Relay.app, Pipedream)
- A document-extraction step with confidence scores
- Your accounting or ERP system with a sandbox
- An approval step in Slack, email or your finance tool
Guardrails
- The agent proposes entries; it never pays or posts above a small limit alone
- Match every invoice to a PO or vendor record, and flag changes to bank details
- Treat document text as untrusted data, never as instructions
- Keep a full audit log with the original document attached
Human-in-the-loop points
- A finance owner approves all exceptions and anything above the limit
- Bank-detail changes always need a second person
- A monthly review of automated postings by someone independent
How to start small
Start here: Automate extraction only: have the agent fill a spreadsheet for review before it touches your accounting system.
How to know it works: Extraction accuracy on a sample, and the number of exceptions caught before posting.

Quick answers
Can an agent approve and pay invoices?
Keep payment approval with people. Let the agent extract and match, and flag exceptions, with small limits and a full audit trail.
What is prompt injection and why does it matter here?
Documents can contain hidden text that tries to give the agent new instructions. Treat all document text as data and keep strict approval steps.
